1 Overview

GetApply ("we," "us," or "our") is a job application assistance service operated by GetApply, LLC, a Florida limited liability company. This Privacy Policy describes how we collect, use, disclose, and protect the personal information you provide when using our website and service (collectively, the "Service").

By creating an account or using the Service, you agree to the practices described in this policy. If you do not agree, do not use the Service.

2 Information We Collect

We collect information you provide directly to us when you create an account or complete your Criteria Profile, including:

• Identity information: Full name, email address, phone number, mailing address
• Professional information: Work history, education, skills, certifications, target job titles and industries
• Application materials: Resume, cover letter drafts, LinkedIn URL, GitHub URL, portfolio URL
• Employment eligibility: Work authorization status, sponsorship requirements, citizenship information as required by employers
• Preferences: Salary expectations, desired start date, remote/hybrid/onsite preference, geographic preferences
• Equal Opportunity information: Voluntary demographic information (race, gender, veteran status, disability) as requested by employers via their applications — never stored beyond what is needed to complete a specific application
• Application essays: Personal statements, "tell us about yourself" responses, and similar essay answers you pre-write for our system to use
• Payment information: Processed securely through our payment provider; we do not store raw card data

We also collect limited technical information automatically, such as IP address, browser type, and pages visited, for security and analytics purposes.

3 How We Use Your Information

We use the information we collect to:

• Complete job applications on your behalf, including populating application forms with your profile data
• Find and curate job opportunities that match your criteria and preferences
• Generate tailored resumes and cover letters for specific roles
• Communicate with you about your application pipeline, approvals, and submissions
• Process payments and manage your account
• Improve the Service through aggregate, anonymized analytics
• Comply with legal obligations and enforce our Terms of Service

4 Data Sharing

We share your personal information only in the following circumstances:

• With employers and job portals: When submitting applications on your behalf, we enter your information into employer application forms. This is the core function of the Service and is done with your explicit approval of each job before submission.
• With service providers: We use third-party services for hosting (Supabase, Railway), email delivery, and payment processing (Stripe). These providers access your data only as needed to perform services for us and are bound by confidentiality obligations.
• For legal compliance: We may disclose your information if required by law, subpoena, or similar legal process, or to protect the rights, property, or safety of GetApply, our users, or others.
• Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will provide notice and ensure your rights continue to be protected.

5 Data Retention

We retain your account information and profile data for as long as your account is active or as needed to provide the Service. After you close your account, we retain certain data for up to 90 days to allow you to reactivate and to comply with our legal obligations, then delete it.

Application submission records (which company, which role, submitted on what date) may be retained for up to 12 months for your personal records and our audit logs, after which they are anonymized or deleted.

Equal Opportunity demographic information is used only to complete the specific application that requested it and is not retained in your permanent profile beyond what you explicitly choose to store in your Criteria Profile essays.

6 Your Rights and Choices

You have the following rights with respect to your personal information:

• Access: Request a copy of the personal information we hold about you
• Correction: Update or correct inaccurate information through your Criteria Profile or by contacting us
• Deletion: Request deletion of your account and associated data (subject to legal retention requirements)
• Portability: Request your data in a structured, machine-readable format
• Objection: Object to certain processing of your data

7 Security

We take the security of your personal information seriously. We use industry-standard measures including:

• TLS encryption for all data in transit
• Row-level security on our database so your data is isolated from other users
• Minimal data access — only the operator performing your application can view your profile details
• No storage of payment card data (processed by PCI-compliant third parties)

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

8 Children's Privacy

The Service is intended for users who are 18 years of age or older. We do not knowingly collect personal information from individuals under 18. If we become aware that we have collected personal information from a minor, we will delete it promptly. If you believe a minor has created an account, please contact us at privacy@getapply.io.

9 Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you via email or a prominent notice in the Service before the changes take effect. The "Last updated" date at the top of this policy reflects the most recent revision. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
